Plan mobile maintenance for a small light-vehicle fleet

Build a practical vehicle inventory, arrange approval and parking, and plan oil and tire requests for a small business without assuming simultaneous service or guaranteed uptime.

Build the inventory before choosing a date

List each supported light vehicle separately: year, make, model, engine or powertrain, the service needed and any known concerns. For wheel or tire work, record the replacement set, sizes and locking hardware; for oil, gather the engine and manufacturer specification details. A shared company address does not make vehicles interchangeable. Keep unknown requirements marked for review instead of copying a colleague’s configuration.

Choose who can approve the work and the space

Name an organizer who can provide access, coordinate keys and reach each vehicle’s authorized decision-maker. Agree who reviews the scope, accepts the price and pays before submitting the request. Obtain permission for a clear, level private work area and describe building access, parking restrictions and available space. Employee-owned vehicles still need their own accurate details and approval rather than blanket consent from an organizer.

Plan within the reviewed request size and capacity

The booking flow accepts up to four vehicles per request. Contact Motrive before planning a larger group so the actual site, services and provider capacity can be discussed. Do not assume all vehicles will be serviced at once or that a proposed window is confirmed. Keep your business schedule flexible while requirements, assignment and payment are reviewed; a submitted request does not promise uninterrupted operations.

Close the loop for each vehicle

After the visit, review each vehicle’s recorded work, completion status and any follow-up instructions. Keep accepted quotes and service records with the corresponding internal vehicle file, and note unresolved items before planning another request. Use the manufacturer’s maintenance guidance for each vehicle rather than one interval for the entire fleet. Agree who checks these records so an incomplete or deferred task is not mistaken for completed service.

Take it into your next request

  • One accurate inventory entry and service scope per vehicle
  • A named organizer and authorized approval for each vehicle
  • Property permission, safe access and a suitable private work area
  • Up to four vehicles per booking request; contact for larger groups
  • Realistic timing that accounts for review and provider assignment
  • Individual completion records and follow-up responsibilities
